Join our Marketing team at Medford Leas! As the Marketing and Sales Support Coordinator (MSSC), you'll play a vital role in achieving sales goals by supporting team members. Reporting to the Chief Marketing Officer, the MSSC serves as the initial contact for prospective residents, ensuring a positive first impression. This detail-oriented position requires excellent customer service, a solid grasp of the sales process, and efficient coordination of office services.


Job Responsibilities

Provides a first impression of community to prospective clients.
Demonstrates a high level of professionalism, including a professional appearance and a positive ôcan-doö attitude when interacting with others and when dealing with issues that arise, remaining calm under pressure.
Greet and act as host/hostess for all prospective residents and guests visiting Medford Leas to ensure the best experience possible.
Answers incoming calls and website leads, referring potential clients to sales team and disseminating leads. Responds to inquiries about Medford Leas from prospective residents in a timely manner, distributing to sales team and entering into CRM.
Must be able to ask investigative questions and perform discovery before disseminating leads.
Oversees coordination of hospitality suite reservations, including: meeting room manager, facility notification, food, flowers.
Arrange for meal companions and provide meal coupons.
Manages the accurate recordkeeping of the Customer Relationship Management (CRM) database.
Oversees general office operations.
Responds to the needs of prospective residents, family members and trusted advisors by providing immediate and courteous information or assistance.
Mails brochures and other department approved correspondence. Maintains responsibility for the appearance of all outgoing materials. Informs Chief Marketing Officer when updates and mail supplies are needed.
Assists with preparation of marketing plan in conjunction with the Chief Marketing Officer.
Effectively carries out all bulk mail and regular mailings.
Manages office by tracking inventory and ordering office supplies, collateral and other printed material within approved budget and guidelines.
Provide administrative support to Director of Marketing as well as sales counselor(s) as requested.
Manages staff calendars as necessary, updating with events, departmental information and tours.
Assists CMO with marketing research, maintenance of industry information and competitive analysis.
Prepares tour schedules and greeting signage.
Cultivates strong relationships and establishes trust with clients.
Plans and implements all elements associated with marketing events within approved budget in collaboration w/ Director of Sales and Chief Marketing Office in planning, implementing and execution.
Coordinates all aspects of events, including, but not limited to: meeting room reservations, promotions and signage, RSVP correspondence, attendee registration, food and facility requirements as well as client interaction and relations.
Assures that all is ready 24 hrs in advance of event.
Processes marketing department finances, including invoice payment and refunds.
Accurately performs a wide variety of clerical assignments, including but not limited to: filing, copying, collating, faxing, correspondence, contracts, departmental mail retrieval and delivery.
Required to drive and safely transport clients in a golf cart and/or Medford Leas vehicle.
Prioritizes tasks and meets deadlines.
Possesses excellent communication skills - written and oral.
Actively participates in sales building efforts by helping to host: luncheons, dinners, special events, with potential leads and prospects. This may include occasional weekend hours and evenings.
Performs other duties as assigned.



Education/Experience Requirements

College Degree preferred; Minimum of Associates Degree required.
3 years of previous experience in office administration, supervision, customer services, support and relations, sales and/or related field.
Knowledge and working experience of sales principles and practices a plus.
Knowledge of administrative practices and procedures, data management methods, basic accounting practices and human resources practices.
Proficient computer skills, MS Office Suite (Word, Excel, PowerPoint)
Working knowledge of relevant software programs.
CRM knowledge a plus.
WordPress knowledge a plus.
Excellent customer care and focus; ability to assess customersÆ needs and provide correct answer, path, troubleshooting, or method for a positive customer experience.
A positive attitude and excellent communication skills, including written and oral.
Ability to remain calm while under pressure.
Demonstrated ability to learn new computer programs and troubleshoot when software issues arise.
Must demonstrate the ability to conduct business in a professional and respectful manner.
Must be able to work independently and multitask, prioritize and manage time efficiently.
Must possess basic office skills to include typing, filing, copying, faxing, proofreading and use of calculator etc.



License and Regulatory Requirements

Must possess valid driverÆs license.
Must complete mandatory training as required.



Physical Requirements/Environmental Conditions

Must be able to speak, hear and write in English.
Must possess manual dexterity; must be able to sit and use a computer, telephone, calculator, and other office equipment for up to 85% of the time.
Intermittently bends, stoops and stands while filing.
The position requires strong verbal communication skills.
Physical environment is an inside office setting with an occasional need to travel to participate in outside training programs.
Typically sits at a desk and does a high volume of work on the computer.
