Overview:
The HRIS Systems Administrator works within the Office of Human Resources, HRIS department reporting to the Manager, HRIS. This role participates on projects which support the service delivery of Human Resources Systems, administration of HRIS systems, maintains core HR systems and processes supported by the HRIS team, and participates in data administration.
This role serves as a technical point of contact for assigned functional areas and assists subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities. This role also supports systems upgrades, patches, testing and other technical projects as assigned.
This role is responsible for tier 1 support regarding data issues and requests, collaborating closely with HR departments, OIT and other campus departments, and will take the lead to work through any technical issues with other administrators or OIT. In addition, this role will participate in running processes which update data or uploading of data ensuring accuracy of source data and validates appropriate sign offs are acquired prior to data changes.
The successful candidate should have broad experience with ERP cloud systems, implementations and migrating to cloud products. The role will be involved with the ERP cloud project assisting with current and future state business process mapping and improvements as we prepare for the PeopleSoft HCM to ERP SAAS solution migration (such as Oracle Cloud or Workday). The candidate is expected to be an integral part of the cloud systems migration, as well as current production support, system configuration, troubleshooting, or integration and interfaces with third party systems. Experience with Oracle Cloud or Workday ERP is a plus.
Responsibilities:
Systems Administration
Provides technical support for HRIS (PeopleSoft, Gideon Taylor eForms, iCims, and other systems) including, but not limited to, researching and resolving system issues and unexpected results or process flaws. Escalates issues as needed with programmer or vendor to attain resolution of issue.
Notifies affected users of technical or known issues in a timely manner.
Recommends system design changes and upgrades based on efficiency of current system and user needs. Designs systems specifications and works with programmers to implement and test.
Assists with HRIS projects involving implementations, new functionality, process improvement, and related administration.
Analyzes audit needs and develops standard audit reports of the HRIS system for functional areas.
Supports HRIS upgrades, patches, testing, and other technical projects as assigned.
Supports maintenance of system tables and business rules, including year-end system table updates.
Assists with troubleshooting issues related to interfaces assigned and works with the Senior Systems Administrator, OIT and/or vendors to resolve those issues.
Works closely with HRIS team and acts as a backup when required.
Projects/Process Improvement
Participates in HR systems-related projects that streamline current HR processes and continually identifies opportunities for increased efficiency and effectiveness. Communicates any changes to other areas within HR.
Develops and maintains user procedures, guidelines and documentation.
Recommends process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy.
Data Administration/Analysis
Assists with data entry or auditing of HR/benefits transactions. Ensures timely processing to align with payroll schedule.
Confirms accuracy and integrity of all data entered.
Collaborates and coordinates across HR functional areas to ensure transactional processes comply with policies and procedures.
Troubleshoots and resolves issues related to transactional work. Coordinates resolution with appropriate HR functional area as well as outside departments such as Payroll.
Fulfills ad hoc and recurring data requests from internal customers.
Qualifications:
Qualifications
BA/BS or equivalent work experience
3 to 5 years of HRIS systems administration experience
Experience working in PeopleSoft HCM, or other human resources ERP SAAS/cloud systems
Ability to translate functional business requirements into technical specifications
Experience creating and maintaining end-user documentation
Experience with query/report writing
Strong analytical skills and attention to detail
Well organized and able to work independently, manage multiple priorities, and meet deadlines
Ability to handle confidential information in a responsible and accurate manner
Strong customer service and communication skills (both oral and written)
Preferred
Experience working on small to medium sized projects
Experience with PeopleSoft set up tables
Experience in University setting
