Primary Function
Provides World Class customer service when greeting all guests and forwarding calls. Core activities include phone coverage, greeting guests, ensuring Reception area is in proper order and policies are adhered to. Ensures that each guest/caller has a positive experience at this initial point of contact. Handles routine customer service phone and guest support.
Duties & Responsibilities

Effectively handles approximately 2,500 calls and 1,200 visitors per month
Effectively operates Cisco phone system.
Answers incoming telephone calls within a reasonable amount of time, determines purpose of callers and directs calls appropriately
Ensures visitors sign in, are issued visitor 's badges, and notifies appropriate parties of visitors arrival
Greets incoming guests, professionally, timely and courteously, taking the time to offer them coffee, tea or water and shows them where to store their luggage.
Escorts guests to conference rooms if necessary Informs Reception Coordinator of any key issues that impact customer service and implements solutions on a timely basis
Handles routine calls and where there are complex calls effectively listens and escalates to Reception Coordinator
Maintains magazine rack by restocking it with Novo Nordisk literature
Performs other duties as assigned
Proactively identifies opportunities to improve customer service and all other aspects of Reception operations. Makes recommendations to Reception Coordinator
Reports all maintenance requests to facilities

Skills & Qualifications

Excellent oral and written communication - clear and concise; uses good grammar.
Excellent phone manner.
Experience with Microsoft Outlook or similar email system required.
Positive attitude and strong customer focus.
Prior receptionist experience a plus.
Quick thinker; Uses sound judgment.
Self - starter and independent problem solver. Able to anticipate next steps
Some Word, Excel and PowerPoint skills preferred.
Strong organizational/planning skills.
The ability to maintain highest level of confidentiality.
The ability to resolve conflict and diffuse tense situations

Education & Experience

2+ years receptionist, administrative or Customer Service experience required.
A high school diploma required
