JOB SUMMARY:
Our company is looking for an office assistant to be responsible for handling clerical tasks in our office. You will be managing files, handling incoming phone calls and other communications, greeting clients and visitors, as well as updating paperwork and other documents, and performing other general office clerk duties and errands. Responsibilities include data entry, mailings, copying, answering telephones, filing and receptionist and front desk duties for an organization providing services to individuals with intellectual disabilities and early intervention service coordination.

SPECIFIC DUTIES:

Answer telephones in a friendly manner for department as assigned, direct calls to appropriate individuals and take messages.
Updating paperwork, maintaining documents and word processing.
Helping organize and maintain office common areas.
Maintain strict confidentiality of records.
Handle record requests.
Pull charts for Supports Coordination staff.
Make copies as needed.
Type correspondence, reports as assigned.
Update databases with current information.
Greet clients and visitors upon arrival in a friendly and welcoming manner.
Process and deliver mail as assigned.
Complete meeting minutes as assigned.
Complete and circulate emails and memos on behalf of supervisory staff.
Maintain staff phone list as assigned.
Keep track of postage as assigned.
Keep track of inventory of supplies as assigned.
Assist with mass mailings as assigned.
Enter demographics into database accurately as assigned.
File information and maintain order in chart/record room as needed.
Courier duties as assigned.
Other duties as assigned.

QUALIFICATIONS:

High School Diploma
Competency in the Microsoft Office suite, attention to detail required, good organizational skills, good communication and interpersonal skills and empathy for individuals with disabilities.
As we are subject to the City of Philadelphias COVID-19 Vaccine Mandate for Healthcare Workers, you will be required to be fully vaccinated against COVID-19.
