Appointment Setter – Remote

Nirvana by Noel Med Spa is a client-focused medical spa dedicated to providing exceptional aesthetic and wellness services. We are looking for a professional, personable, and motivated Appointment Setter to join our growing team remotely.

Position Summary

The Appointment Setter will be responsible for connecting with prospective and existing clients, responding to inquiries, following up with leads, and scheduling consultations and appointments. The ideal candidate is confident communicating by phone, text, and email and enjoys creating a welcoming experience for clients.

This is a full-time remote position with an opportunity to grow with the company.

Responsibilities

• Respond promptly to new client inquiries by phone, text, and email.
• Contact prospective clients and follow up with leads.
• Schedule consultations and appointments based on client needs and provider availability.
• Confirm upcoming appointments and help reduce no-shows.
• Follow up with previous inquiries and clients who have not yet scheduled.
• Provide professional and friendly customer service.
• Answer basic questions about services and direct clinical questions to the appropriate team member.
• Maintain accurate client and appointment information in the scheduling/CRM system.
• Meet established appointment-setting and follow-up goals.
• Communicate professionally with clients and team members.
• Protect client privacy and maintain confidentiality.

Qualifications

• High school diploma or equivalent preferred.
• Previous experience in appointment setting, customer service, sales, scheduling, hospitality, healthcare, medical spa, or a related field preferred.
• Excellent verbal and written communication skills.
• Professional and friendly telephone manner.
• Strong follow-up and organizational skills.
• Comfortable speaking with prospective clients and handling objections professionally.
• Comfortable using computers, email, scheduling software, and CRM systems.
• Ability to work independently in a remote environment.
• Reliable internet connection and a quiet, professional workspace.
• Strong attention to detail and ability to manage multiple conversations and appointments.
• Must be dependable, punctual, and able to maintain a consistent full-time schedule.

Preferred Experience

Experience with a medical spa, aesthetics, wellness, healthcare, dermatology, cosmetic services, or another appointment-based business is a plus.
