Overview:

i3 is searching for an Administrative Assistant to provide direct support to both the Country Liaison Officer & the Kuwait Liaison Office. This position is located in Philadelphia, PA at NAVSUP WSS Philadelphia and does currently support a hybrid schedule (on-site and remote).



Hourly rate $16.00 - 18.00 per hour

Responsibilities:

The Administrative Assistant performs a variety of general administrative tasks, such as preparing correspondence, coordinating business travel, and meeting arrangements, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of the office.



Supporting the Kuwait Officer Responsibilities:


Open new accounts & complete various forms for services on behalf of the officer & his family (ex: medical forms, questionnaires, opening of new accounts such as banks, phone service, cable television).
Ability to answer questions about medical coverage & healthcare and dental services available in the area.
Perform all actions associated with enrolling the officers children in school.
Review the home/rental lease with the officer every year to ensure he is satisfied with the accommodations.
Take meeting minutes and action items during meetings as requested and perform basic follow-up.
May be assigned special projects that are Clerical and Administrative or administrative in nature.
Makes appointments, business travel arrangements, meeting arrangements, and coordinates with activities between program management, customer personnel, and outside parties.
Will be responsible to ensure vehicles are properly maintained through dealerships.
This position does not require personal duties for the Kuwait Officer and family.


Supporting the Office; General Responsibilities:


Reports to the office at 0700 to check voice mail & faxes and distribute messages accordingly.
Prepare FedEx packages to send correspondence to various places, usually the Kuwait Embassy.
Maintain inventory of office supplies, troubleshoot equipment malfunctions, and coordinate any repairs & maintenance issues with base maintenance.
Maintain the cleanliness of the office.
Qualifications:

Required:


High School Diploma and a minimum of three (3) years of administrative experience is required.
Must possess and maintain a valid U.S. Drivers License with a good driving record; commercial license not required.
Must have an excellent command of the English language, both oral and written.
Ability to type 40 words per minute.
Skilled in Personal Computer (PC) usage and proficient in Microsoft family of software, to include as a minimum: (1) MS Word, (2) MS Excel, and (3) MS Outlook.
Familiarity with the Philadelphia area and surrounding areas.
Must receive a Favorable Determination on the Security Background Investigation and be eligible to receive a Common Access Card (CAC).
Must be able to obtain and maintain a DoD security clearance should this be needed.
U.S. citizenship is required.
Possessing a current Favorable Background Investigation is preferred.
