Administrative Assistant, HR Benefits Department
The Administrative Assistant position plays a critical role in the day to day operations of the HR Benefits department including providing administrative support for the Company s Health and Retirement plans and Leave of Absence administration. This position reports to the Assistant Manager, Health & Leave Administration and also provides key support to the HR Benefits Director and the Assistant Manager, Retirement/Union.

Essential Functions & Responsibilities:

Running daily, weekly, and monthly reports for benefits processing.
General department administration such as:

attendance tracking and weekly department timesheet submissions
ordering supplies and processing expenses periodically
monitoring general benefits email
monitoring the main benefits phone line
handling department mail as needed

Other ongoing projects include:

organizing and maintaining regional benefit summaries
maintain internal reference documents and resources
creating and distributing new hire benefit materials to regional contacts
updating benefit materials for corporate benefit training sessions as needed
Process system data updates impacting benefit eligibility/enrollment

Key role in large communication mailing/emailing efforts such as Open Enrollment and required benefit mailings/email blasts
Other duties as assigned

Requirements:

Strong organizational skills
Ability to efficiently prioritize work on multiple projects with various deadlines
Strong attention to details
Excellent oral and written communication skills
Strong knowledge of Microsoft Office tools with an emphasis on Excel
Experience using PeopleSoft HRIS system a strong plus
2+ years experience in an office setting or similar role

Due to the inherently dangerous nature of the industry and requirements to work with or around hazardous equipment, employees must have sufficient eyesight to judge distance/coordination of equipment and tools, be able to maintain attention and concentration for extended periods, be able to withstand exposure to all kinds of weather while completing work assignments, be able to wear personal protective equipment as necessary, be able to enter and exit a vehicle numerous times a day, have the endurance necessary to traverse various terrain, be capable of performing job duties throughout a standard 8- or 10-hour day, be able to communicate with others, read, write, and comprehend written/verbal job instructions and information, and communicate and handle conflict professionally.
