Administrative Assistant in the
Transportation Industry
(Full-Time Independent Contractor)

This is a very demanding position within a fast paced environment!
You will work alongside the Senior Executive Assistant & report directly to the Executive Assistant, while supporting the TransFunds M&A teams in Canada and USA.
As Administrative Assistant, you will provide the highest level of professional services and operational support to the TransFunds Team. You're a problem-solver, highly organized, have strong communication skills and have an excellent ability to build and manage relationships based on trust.
Administrative Duties:
Manage the CEO's calendar
Provide administrative support to the CEO & Team Members in the USA & Canada
Prepare marketing lists and create Opportunities in Salesforce
Send out financial snapshots to potential prospects
Prepare and send NDAs via DocuSign
Release marketing packages via OneHub; track package access; create follow up tasks in SF and updated Outlook calendar
Maintain accurate information in Salesforce Opportunities
Monitor and respond to daily email in an accurate and professional manner
Update Account/Contact information in Salesforce as needed
Proofreading Client presentations in MS Word
Creating Client photo presentations in MS PowerPoint
Using MS Teams to set up conference calls
Prepare Client Agreements/Invoices as required
Create/send company announcements via Constant Contact
Handle personal and confidential information discretely
Miscellaneous internet research as required
Daily communication with clients and staff via email and phone
Key Abilities:
Ability to operate effectively in a fast-paced environment
Ability to maintain and work with highly sensitive and confidential information
Highly organized and attentive to details
Expert level written and verbal communication skills
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Ability to work independently, prioritize various competing demands at different time horizons using discretion and confidentiality at all times
Advanced working knowledge of Microsoft: Teams, Outlook, Excel, Word & PowerPoint
Should be highly proficient in Microsoft Excel and extremely skilled in working with Excel formulas
Thorough Knowledge of Salesforce and Constant Contact an asset
Must have a high command of the English language, as well as excellent letter writing and proofreading skills
Job Types: Full-time, Contract
Pay: $30.00 - $35.00 per hour
