Job Details for Administrative Assistant :
Schedule: Monday- Friday, 7:30am-4:00pm
Pay Rate: $18-$20/hr depending on experience
Job Responsibilities & Description for Administrative Assistant:
Act as the liaison between the main office accounting and the site office. * Print and organize sub invoices from accounting and approval from the site team, managers.
Print and organize GC invoices for approval scan executed version back to project accountant.
2. Act as liaison between
main office-based Executive Administrative Assistant (EAA) and site team, managers.
Assist Executive Administrative Assistant with ensuring all timesheets are completed, signed and sent to EAA and SVP in a timely manner.
Assist the CCIP process and getting EAA required information for NOA to CR Solutions.
3. Gather, assist in the preparation of sections for monthly report and publish. 4. Monitor/order office supplies. 5. Maintain Conference room schedules to avoid double booking. 6. Support field operations regarding Clerical and Administrative matters. 7. Support Site Safety Manager to properly file and distribute Accident Reports and other safety issues. 8. Schedule meetings as required. 9. Type and file letters as requested. 10. Office filing, both electronically and hard copy. 11. Reception Duties:
Greet visitors
Maintain logs
12. Type, distribute and file documents, meeting minutes, etc.
Job Requirements for Administrative Assistant:
2-4 years previous office/admin experience
Very proficient with Microsoft Office Suite
